Every renewal, tracked and chased for you.

Renewals used to mean a spreadsheet of who's due, a stack of invoices, and someone remembering to chase the ones who hadn't paid. This gives the membership team one view of every renewal and exactly where it's stuck. Behind it, an AI membership agent tracks who's due, drafts the invoices and reminders, chases lapsed members — and flags the ones that need a personal touch.

In brief

Challenge, approach, outcome.

01

Challenge

Renewals lived in a spreadsheet and someone's memory. Every cycle meant working out who was due, raising invoices one by one, and remembering to chase the members who hadn't paid — while the ones who needed a real conversation got the same automated nudge as everyone else. Renewals slipped, and lapsed members quietly drifted away.

02

Approach

One renewals workspace with an AI agent, built on the Microsoft 365 the association already uses. The agent tracks who's up for renewal, drafts the invoices and reminders, and chases the routine ones — while flagging the members who need a personal call for a person to handle. No new database, no manual chase list.

03

Outcome

Every renewal tracked in one place, invoices and reminders drafted the moment a member is due, and the routine chasing handled automatically — so the team's time goes to the members who actually need a conversation. Fewer renewals slip through, and a person still handles the personal ones. The data stays in Canada.

Why it exists

From a chase-list spreadsheet to a renewal that runs itself.

Before · in the spreadsheet

"Who's still unpaid this month? And didn't Peter usually renew by now?"

After · in the workspace

One renewal, tracked end to end, invoiced and chased — with an agent doing the legwork.

The AI membership agent

An agent does the chasing. A person makes the call.

Behind the calm list, an AI agent tracks every renewal, drafts the invoices and reminders, and chases the routine ones — so the team isn't living in a spreadsheet. It only stops for a person when a member needs a real conversation.

STEP 01
Tracks who's due
Watches the membership records and queues each renewal the moment it's due — before anyone opens a spreadsheet.
Agent
STEP 02
Invoices & reminds
Drafts the invoice and the reminders, names anything still outstanding, and sends on schedule — you approve before anything goes out.
Agent
STEP 03
Chases the routine
Follows up the members who simply forgot, and advances each renewal as payments land — so nothing slips.

STEP 04
Flags the personal
A long-standing member lapsing, a complaint, a special case — it stops chasing and hands it to a person. You make the call.

The agent's reminders. Invoices that go out on time.

The reminder knows what's outstanding.

The agent reads the member's renewal checklist, picks the right recipient, and drafts an Outlook reminder that names exactly what's still outstanding. You confirm before anything goes out — nothing sends on its own.
